At BID Automated Trading KFT, we are committed to ensuring customer satisfaction with our wholesale mobile phone products. This Refund Policy outlines the terms and conditions for returns and refunds on our B2B transactions.
Important Note: As a B2B wholesale distributor, our refund policy differs from consumer retail policies. Please read this policy carefully before placing orders.
1. Eligibility for Returns
Returns are accepted under the following conditions:
- Defective Products: Devices with manufacturing defects or malfunctions out of the box
- Incorrect Items: Products shipped that do not match the order specification
- Damaged in Transit: Items damaged during shipping with visible packaging damage
- Dead on Arrival (DOA): Devices that do not power on or function upon receipt
2. Return Timeframe
Return requests must be initiated within the following timeframes:
- 7 Days: For defective products, incorrect items, or shipping damage
- 48 Hours: For DOA (Dead on Arrival) claims with photographic evidence
- 24 Hours: For reporting shipping damage or missing items from delivery
All return requests must be submitted in writing to bid.automation@proton.me within the specified timeframe.
3. Non-Returnable Items
The following items are not eligible for return or refund:
- Products with broken seals, opened packaging, or signs of use
- Devices with physical damage caused after delivery
- Products missing original accessories, documentation, or packaging
- Custom or special orders placed specifically for the buyer
- Products beyond the return timeframe
- Items purchased during clearance or final sale promotions
4. Return Process
To initiate a return, follow these steps:
- Step 1: Contact us at bid.automation@proton.me with your order number, product details, and reason for return
- Step 2: Provide photographic evidence if claiming defect, damage, or DOA
- Step 3: Await Return Authorization (RA) number from our team within 24-48 hours
- Step 4: Ship products back in original packaging with RA number clearly marked
- Step 5: Await inspection and approval (typically 3-5 business days after receipt)
Important: Products returned without prior authorization will not be accepted and will be shipped back at the sender's expense.
5. Inspection Process
All returned items undergo a thorough inspection:
- Verification of product condition and packaging integrity
- Testing of claimed defects or malfunctions
- Confirmation that all original accessories and documentation are included
- Assessment of any physical damage or signs of use
Returns that fail inspection may be rejected or subject to restocking fees.
6. Refund Methods and Timing
Approved Refund Methods:
- Bank transfer to the original payment account
- Credit note for future purchases (expedited processing)
- Replacement product of equal value
Refund Processing Time:
- Replacement products: 5-7 business days after approval
- Credit notes: Issued within 3 business days after approval
- Bank transfers: 10-14 business days after approval
7. Return Shipping Costs
- Our Error: If the return is due to our mistake (wrong item, defect, damage), we cover all shipping costs
- Buyer's Request: For returns not due to our error, the buyer is responsible for return shipping costs
- Insurance Required: Buyers must insure high-value returns; we are not liable for items lost in return transit
8. Restocking Fees
Restocking fees may apply in certain situations:
- 15% restocking fee for opened products without defects
- 25% restocking fee for products with missing accessories or damaged packaging
- No restocking fee for genuine defects, our errors, or unopened products
9. Warranty vs. Return Policy
It's important to distinguish between our return policy and manufacturer warranties:
- Return Policy: Covers the initial 7 days after delivery for defects, errors, or damage
- Manufacturer Warranty: Covers defects discovered after the return period (typically 12-24 months)
- After the return period expires, all warranty claims must go through the manufacturer
- We assist with warranty claims but cannot accept returns for warranty issues
10. Bulk Order Returns
Special conditions apply to bulk orders (100+ units):
- Returns must be for entire order lots, not individual units
- Sampling inspection protocols apply (testing 5% of units)
- Extended inspection period of 5-7 business days
- Custom bulk order return terms may be negotiated in advance
11. Exchange Policy
We offer exchanges as an alternative to refunds:
- Exchange for identical products (fastest processing)
- Exchange for different models of equal or greater value
- Price difference must be paid for upgrades
- Exchanges processed faster than refunds (3-5 business days)
12. Partial Refunds
Partial refunds may be issued in the following cases:
- Missing accessories or documentation (deduction based on item value)
- Minor cosmetic damage to packaging
- Products returned after the standard return window (at our discretion)
- Agreement between both parties for partial compensation
13. Refused or Rejected Shipments
- Buyers refusing delivery are responsible for all shipping costs both ways
- 25% restocking fee applies to refused shipments
- Orders must be cancelled before shipping to avoid fees
14. Dispute Resolution
If you disagree with a refund decision:
- Contact our customer service team at bid.automation@proton.me within 5 business days
- Provide additional evidence or documentation to support your claim
- Management will review and respond within 7 business days
- Final decisions are made at the discretion of BID Automated Trading KFT
15. Fraudulent Returns
We take return fraud seriously:
- Substituting products or returning different items will result in rejection and legal action
- False claims of defects or damage may void future return privileges
- We reserve the right to refuse service to customers who abuse our return policy
16. Force Majeure
Return processing may be delayed due to circumstances beyond our control, including natural disasters, pandemics, government actions, or transportation disruptions. We will communicate any delays promptly.
17. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued business relationship with us constitutes acceptance of any changes.
